By completing your booking, you acknowledge and agree to all of the following terms.
About the Property
This accommodation is a vacation rental, not a hotel.
Unlike hotels with front desk or concierge services, our property does not provide staffed hospitality or full hotel-style amenities.
If you are seeking full-time hospitality, on-site staff support, or the highly functional design and services of a hotel, we kindly ask that you refrain from booking.
Facilities & Maintenance
We maintain the property with the utmost care; however, unexpected equipment malfunctions may occasionally occur.

In such cases, immediate repair may not always be possible.

We will provide guidance by phone, and guests may need to handle temporary solutions themselves.

Please note: refunds cannot be issued for sudden malfunctions.

Kitchen
The kitchen is available for guest use.
After use, please wash dishes and cookware and leave them beside the sink.
Our staff will finish cleaning and return them to the shelves.
Parking

Up to 2 standard cars may park on-site.

Please note: the final turn before entering the property is extremely narrow.
(As reference: a Mercedes-Benz G-Class can pass with very little clearance.) -
If you are concerned about driving, we recommend using a nearby coin-operated parking lot (paid) or public transportation.
The property is a 1-minute walk from “Hayama Motomachi” bus stop. -
We cannot take responsibility for any accidents or damages to vehicles on narrow roads near the property.
Regarding daytime use by non-staying guests:
Daytime guests who are not staying at the hotel can enter the facility from check-in until 8:00 p.m.
A facility usage fee of 5,500 yen per person will be charged.
Please reply to the email sent to you when you make a reservation.
Payment will be made on the day in cash only.
If you stay after 8:00 PM, we will charge you 50,000 yen per person.
Due to the Hotel Business Act, we have a set number of guests allowed, so we are unable to accommodate daytime guests.
Thank you for your understanding.
Regarding children:
Up to four preschool children can stay. Up to two children stay free. Three or more children can share a bed for an additional 5,500 yen (up to six people).
Regarding pets:
A total of two pets are allowed.
There is an additional fee per pet per night, 6,600 yen (tax included) for small dogs and 7,700 yen for large dogs.
Please note that pets are not allowed in the back of the first floor or the bedrooms on the second floor.

Regarding meals:
The fee does not include meals.
Please use THE HOUSE FARM's catering service, private chef dispatch, delivery from nearby restaurants, or use nearby restaurants. We will provide information after you make a reservation.
The kitchen is equipped with an induction cooker (3 burners) and a full set of cooking utensils.
For self-BBQ, we can rent a stove as an option.
Payment, Cancellation, and House Rules
Payment

Payment can be made by credit card or advance full bank transfer at the time of booking.

If you select “Pay on site” or “Bank Transfer in Advance” at the time of booking, payment must be completed within 10 days after reservation.
(Details for payment will be provided in your booking confirmation email.) -
Please ensure payment is made by the deadline.
Cancellation

Guests must always notify us in case of cancellation.
-
If we do not receive notice, cancellation fees may apply even before payment is made.

Refunds and cancellation handling will follow our cancellation policy below.
Cancellation Policy:

No refunds will be made due to weather conditions.
-
However, if major transportation is suspended, and you are unable to reach us, no cancellation fee will be charged and you will receive a full refund.
(For multi-night stays, only the day(s) affected by transportation suspension will be refunded. Example: If access is blocked for 1 day during a 2-night stay, only 1 night will be refunded, and standard cancellation fees apply to other nights.) -
From 30 to 11 days before check-in → 10% of total stay fee

From 10 to 4 days before check-in → 50% of total stay fee

From 3 days before to the day of check-in → 100% of total stay fee
Extended Stays

Housekeeping is provided every other day.

Guests may use the vacuum cleaner, broom, and dustpan provided.

Terms of Use

The property is located in a safe but highly regulated area near the Hayama Imperial Villa and is on the designated police patrol route.

We take crime prevention and noise very seriously. Guests are asked to behave respectfully and responsibly.
Liability

We are not responsible for accidents, theft, or damage to vehicles while using the parking lot.

Any damage caused to the property or equipment by guest negligence will be charged (repair cost and loss of business).

We are not liable for accidents or injuries caused by excessive drinking or careless behavior.

Please be mindful of neighbors both day and night.
Privacy

For privacy reasons, we cannot respond to inquiries from anyone other than the booking guest.

If accompanying guests wish to contact us, please first have the booking guest reach out, after which additional communication can be arranged.
Prohibited Conduct
This property is intended for guests who appreciate refinement and respect.
The following are strictly prohibited:

Unauthorized visitors. Only pre-registered day guests who have paid the applicable fee may enter.
Violation: ¥50,000 per unauthorized guest -
Smoking anywhere on the property (indoors and outdoors, including terraces).

Use of non-designated BBQ grills, open fires, candles, fireworks, or incense.
-
Playing loud music, generating noise, or using strong fragrances.
-
Illegal activities including drugs and gambling.
(Suspicion of drug use will be immediately reported to the police.) -
Commercial photography or filming, or any acts against public morals.
